Simple solution to email overload – don’t become overloaded!
Most common reason for overload, use of inbox for purposes it wasn’t designed for such as a:
- To do list
- Filing system
- Calendar
- Bookmarks list
- Address book
Solution to email overload
Empty inbox every day – get to zero!
- Read personal emails
- Delete spam
- Delete or file fyi
- Finish/action “two minute” to dos
- Move all big to dos to a to do list
- Open, engage, move it out
Other tips
Daily 5 minute catch up with other staff to avoid multiple emails through the day
Limit newsletters/emails you subscribe to
Aim to check emails twice per day
Use subject heading
FYI/Action required
Describes subject of email ie don’t change topic
Don’t reply all if not necessary
Use checklist as to do list
Use priority ranking
Use filing system – create folders
Use filters to skip inbox and send emails directly to folders
